Frequently Asked Questions

Please reach us at catherine@thetendedoffice.com if you cannot find an answer to your question.

The Tended Office is designed for administrative professionals who support healthcare practices.

This includes patient care coordinators, front desk staff, clinic administrators, virtual assistants working with medical practices, and practice managers who want to strengthen the administrative systems that support care.

Clinic owners and providers who want guidance improving their administrative operations may also benefit from training.

 No.

Throughout my work, I have supported a wide range of healthcare environments including physical therapy practices, behavioral health clinics, wellness and hormone clinics, medical weight care practices, speech therapy clinics, hospitals, and nursing facilities.

While each specialty is unique, the administrative systems that support patient care share many common structures.

 Not at all.

Many experienced administrative professionals have developed their skills through years of hands-on work but were never formally taught how the systems of a clinic function together.

This training helps both new and experienced assistants understand the structure behind their work so they can support their clinic more confidently and effectively.

 Yes.

Self-pay practices operate very differently from traditional insurance-based clinics. Patients often reach out with questions about services, pricing, and what to expect before deciding whether to schedule.

Administrative professionals play a critical role in these conversations.

I teach assistants and coordinators how to confidently handle incoming inquiries, explain services clearly, guide patients through scheduling decisions, and represent the value of care in a way that feels supportive rather than sales-driven.

These skills help patients feel comfortable moving forward while also supporting the growth of the practice.

Yes. I am very familiar with insurance workflows and the administrative responsibilities that support billing and reimbursement. This includes documentation preparation, coding coordination, claim submission processes, follow-up workflows, and the communication systems that connect front desk operations with billing departments.

Administrative professionals often play an important role in making sure these systems function correctly, and I teach how the front-line administrative work of a clinic supports accurate billing and smooth reimbursement.

I also work extensively with self-pay and wellness-based practices, where administrative professionals must confidently explain services, pricing, and next steps to patients. These environments require a different set of communication skills and operational systems.

Because I have worked within both models, I help administrative professionals understand how to support clinics operating with insurance, self-pay, or hybrid practice structures.

The discovery call is a short conversation where we discuss your role, your clinic, and the challenges you are currently facing.

Some people are administrative professionals looking for guidance in their role, while others represent clinics that want help strengthening their operational systems.

The goal of the call is simply to determine whether my training would be helpful and what next steps might make sense.

 Yes.

Coaching and training sessions are conducted virtually. This allows administrative professionals and clinic teams in different locations to participate while still focusing on practical, real-world clinic operations.

Sessions are conversational and focused on real systems and situations within healthcare practices.

 Yes.

Some clinics request training sessions designed for their administrative staff as a group. These sessions focus on patient communication, intake systems, scheduling workflows, and administrative processes that support the clinic as a whole.

Team training can help create consistency in how a practice operates.

My training comes from years spent working inside healthcare practices supporting the operational side of care.

I teach the systems that allow clinics to function well - patient communication, administrative workflows, intake coordination, scheduling processes, and the operational structure that supports both insurance-based and self-pay practices.

The goal is not simply to complete tasks, but to understand how administrative work supports the success and growth of an entire practice.

Yes.

For individual coaching sessions, if you feel the session did not provide value, I am happy to make it right.

For multi-session training or structured programs, I ask that you complete the full training and actively apply the material as instructed. If, after doing so, you feel the training did not provide value, please reach out and we can discuss next steps.

My goal is to provide practical, effective guidance that supports both your role and your clinic. If that is not your experience, I want to know.

The best place to begin is with a discovery call.

This conversation allows us to discuss your role or your clinic’s needs and determine whether training from The Tended Office would be helpful.

Still have a question?

If you’re unsure whether this training is the right fit for you or your clinic, you’re welcome to schedule a short discovery call.
