WHAT I TEACH

 Healthcare does not begin in the exam room.

Before a provider ever sees a patient, someone has already answered the phone, explained the practice, coordinated schedules, prepared documentation, and ensured that the systems of the clinic are functioning the way they should.

That work is administrative.

And when it is done well, a practice runs smoothly, patients feel confident in the care they are receiving, and providers are free to focus on what they do best.

Over the years, I have worked inside healthcare practices of many kinds - supporting clinics, coordinating patient care, managing communication systems, handling documentation, navigating insurance processes, and building the operational workflows that allow practices to function well.

Through that work, I learned something important:

Most administrative professionals are expected to manage complex responsibilities without ever being taught how the systems of a clinic are meant to work.

The purpose of The Tended Office is to change that.

This is where I teach the practical knowledge and operational understanding that administrative professionals need in order to support healthcare practices confidently and effectively.

Below are the core areas I focus on.

Administrative Operations (How Clinics Actually Function)

 Administrative work is the operational foundation of a healthcare practice.

Patient communication, scheduling coordination, intake systems, documentation management, billing workflows, and internal communication all shape how a clinic functions day to day.

When these systems are disorganized, practices struggle.

When they are structured well, the entire clinic becomes more efficient, patients experience smoother care, and providers are able to focus on treatment rather than operational problems.

I teach administrative professionals how these systems work together and how to manage them in a way that supports both patients and providers.

Patient Communication & Representation

Administrative professionals are often the first voice a patient hears when contacting a clinic.


That interaction matters.


The way a practice is explained, the clarity of scheduling conversations, and the tone of communication all shape whether a patient feels confident moving forward with care.

Administrative staff are not simply answering phones or sending messages - they are representing the practice itself.


I teach assistants and coordinators how to communicate clearly, confidently, and professionally so that patients understand the value of care and trust the practice from the very first interaction.

Clinic Systems That Actually Work

 A healthcare practice is a network of systems.


Scheduling, intake, documentation workflows, communication channels, and follow-up processes must all function together in order for care to happen smoothly.


In many clinics, these systems develop through trial and error.


Staff members are often left to figure things out as they go, which leads to unnecessary stress, preventable mistakes, and operational breakdowns.

Through my work, I have learned how strong clinic systems are built and maintained.


I teach administrative professionals how to understand these systems, improve them, and support the daily operations of a practice with clarity and structure.

Insurance and Self-Pay Practice Models

Healthcare practices operate within different financial structures.


Some rely heavily on insurance systems, while others operate through self-pay models that require clear communication and strong patient trust.

I have worked within both environments and understand how different the administrative responsibilities can be.


Self-pay practices in particular depend on confident communication, organized systems, and administrative professionals who can clearly explain services, pricing, and expectations.

When this is done well, patients feel informed and respected, and practices are able to grow in a sustainable way.


I teach administrative professionals how to navigate these environments with confidence.

Protecting a Practice’s Reputation

 Many of the challenges that damage a clinic’s reputation do not begin with clinical care.

They begin with administrative breakdowns.


Confusing scheduling processes, missed communication, unclear expectations, billing frustration, and disorganized systems are often what lead to patient dissatisfaction and negative reviews.


Strong administrative leadership prevents these problems before they happen.


Through training and coaching, I help assistants and coordinators recognize where operational issues arise and how to prevent them, creating a smoother experience for both patients and providers.

Helping Practices Grow

 A well-run clinic does not happen by accident.


Growth happens when administrative systems support the work of care — when communication is clear, workflows are organized, and the operational side of the practice is functioning reliably.


Administrative professionals play a central role in that growth.


When they understand the structure behind the practice and the purpose of the systems they manage, they become more than task managers — they become operational support for the entire clinic.
